Overview

Video Conferencing is your Communication meeting space. Start an Internal meeting for your team or a With Deal meeting linked to a CRM deal, pass the green-room microphone check, join voice-first with the microphone on and camera off by default, and review your workspace's archive. The client archive starts on Meetings with SalesHive Team and separates Internal Meetings from Meetings with Prospects. If the room connects without a live microphone track, a recovery banner offers Reconnect microphone. The shared call dock remains usable in compact windows: labels collapse, the row scrolls horizontally, and its menus stay above the dock. Every participant can use the shared dock to raise a hand or send a short reaction. A raised hand stays visible until lowered and moves that participant to the top of People. Reactions appear briefly on the sender tile. Calls record automatically, but the room keeps an honest Starting or Confirming state until LiveKit or the authenticated recording service verifies the active recording. Once confirmed, every participant receives the notice and sees the persistent Recording indicator, even if room metadata is delayed. The in-call dock now uses a tighter default row, and floating page help, feedback, and AI launchers stay hidden on Video Conferencing routes so they do not cover meeting controls. Supported browsers start LiveKit Cloud enhanced noise cancellation automatically, layered with browser echo cancellation and standard noise suppression. Other browsers keep the browser processing fallback. On linked client or prospect calls, every participant also receives a shared live-notes workspace. It updates from spoken meeting content about once a minute, labels itself Visible to everyone in this meeting, and can show confirmed discussion points, decisions, follow-up items, open questions, and the next meeting. Clients and guests never receive the SalesHive internal command center. Signed-out invitees now enter their name and email directly and wait for an authenticated SalesHive host, without an account verification handoff. Microphone actions verify a live published track and reacquire a usable input when an old, muted, or ended track cannot be reused. Supported browsers without WebGPU automatically use the compatible background-processing fallback.

How to use this page

  1. Start a new meeting

Select Start New Meeting and add an optional title. Choose Internal for your team only, or With Deal for a meeting linked to a CRM deal. With Deal prompts you to choose the client CRM deal before you create the link.

  2. Share or open the reusable link

When the link is ready, select Copy to share it, Done to return to the archive, or Open Meeting to enter the green room. The link stays reusable until the meeting is canceled. There is no separate recurring-meeting checkbox.

  3. Check the green room

Before entering, choose your microphone and camera. On supported browsers, set None, Light blur, Strong blur, or an available backdrop. The effect is created on your device before video is sent and is designed for smooth motion at up to 30 frames per second. SalesHive uses a quality-optimized path where available and automatically loads the compatible fallback on other supported browsers. Your choice is saved for future calls. Background choices stay hidden when the browser cannot process them safely. The green room checks microphone access before Join meeting, and Join meeting stays disabled while the check is running or when it reports an error. Re-select a device or choose Retry microphone if needed. Participants enter voice-first with the microphone on and camera off by default. Read the recording notice before you join. Public invite guests use this same green room and enter voice-first after the microphone check. A signed-out invitee enters a name and email directly. SalesHive does not force an account verification handoff for the entered email. If the host is not present yet, the guest waits until an authenticated SalesHive host joins. A signed-out host uses the host sign-in link to start the room. On a supported browser, selecting an effect initializes it with the active camera so the preview can finish loading without blocking video startup.

  4. Use the in-call controls

Use Mic, Start video, Share, Chat, Transcript, People, Background, Music, and Settings while connected. Background effects are created locally on supported browsers, stay saved for future calls, and run at up to 30 frames per second for smoother motion. Supported browsers without WebGPU load the compatible fallback automatically. If an effect cannot be applied safely, SalesHive returns to None with an error message and keeps the camera usable. Every visible shared-screen tile has Enlarge, and clicking the tile also focuses it for you. Select Unpin to return to the gallery. This focus is viewer-local, so it does not change anyone else's layout and still works with Keep everyone in grid. The room performs one initial live-track check after connection. If it cannot publish a live microphone, an alert explains the problem and offers Reconnect microphone. Settings lets you switch available devices and adjust call display options. Calls record automatically on this client surface, so the employee host-only Record control is not shown here. Starting or Confirming remains visible until LiveKit or the authenticated recording service verifies the recording. Once confirmed, every participant receives the recording notice and the header shows Recording. When a camera is off, the profile photo stays above the name so the participant label remains readable. If Share cannot start, SalesHive shows a screen-share message that explains whether browser or system permissions blocked capture, no display or window was available, another app is using capture, this browser or context does not support sharing, or you canceled the picker. Follow the message and try Share again. The dock uses a compact row by default. At narrower call widths, labels collapse to icons. At very narrow widths, the row scrolls horizontally. Background, Share, Music, and Settings menus stay anchored above the dock instead of being clipped. Mic, the M shortcut, spacebar push-to-talk, Reconnect microphone, and the Settings restart action all verify the actual browser audio track. If that track is ended, unexpectedly muted, or missing, SalesHive reacquires a usable input and reports permission, missing-device, or device-in-use failures instead of failing silently.

  5. Follow shared live notes

On a linked client or prospect call, use the shared command center beside the video stage. It starts after conversation is available and refreshes about once a minute with confirmed discussion points, decisions, follow-up items, open questions, and next-meeting details. The label Visible to everyone in this meeting confirms the audience. Select Hide command center for more video space, then Show command center to restore it. The directional Hide or Show control stays fully inside the command center header.

  6. Adjust noise cancellation

Select Settings and leave Noise cancellation on for ordinary calls. Supported browsers show that LiveKit Cloud enhanced noise cancellation is active together with browser echo and standard noise controls. Unsupported browsers keep browser echo cancellation and standard noise suppression. Turn cancellation off only for music or instruments. Changes apply live without leaving the meeting.

  7. Raise a hand or send a reaction

Select Raise hand when you want to speak. The control changes to Lower hand, a hand badge stays on your participant tile until you lower it, and raised participants move to the top of People. Select Reactions and choose Thumbs up, Applause, Heart, Laugh, Celebrate, or Thinking. The reaction appears briefly on your tile for everyone in the room. Hand raises and reactions do not change the meeting record or recording.

  8. Add your AI Rep

Select AI Rep in an active call when the control is available. Choose Join this meeting for live assistance, or Start a training session so the rep can learn what you teach for future calls. Select Dismiss AI to remove it.

  9. Choose an archive view

The archive opens on Meetings with SalesHive Team for calls between your team and SalesHive. Select Internal Meetings for calls hosted within your company, or Meetings with Prospects for calls linked to prospects in your CRM. Each tab keeps the same deal-scoped search, recording, and transcript controls.

  10. Search the meeting archive

Search title, client, or host, then select Search. Use All sources, All recordings, and All transcripts to narrow the results. The archive is scoped to the meetings available in the selected client workspace.

  11. Review recordings and transcripts

Select a meeting title for its details. Watch opens a ready recording, and Transcript opens a ready transcript. Meeting titles and linked records open in a new tab so an active call stays open. Calls record by default, and the active Recording indicator stays compact in the call header.

Common questions

Meetings with SalesHive Team is selected by default for calls between your team and SalesHive. Internal Meetings is for calls hosted within your company, and Meetings with Prospects is for calls linked to prospects in your CRM.
Select Internal Meetings for calls hosted within your company, or Meetings with Prospects for calls linked to prospects in your CRM. Each tab applies the same archive search and recording or transcript filters.
It links a new meeting to a CRM deal. Choose the client CRM deal before creating the link.
The client view is scoped to meetings available in the selected client workspace, including calls between your team and SalesHive, calls hosted internally, and calls linked to prospects. On compact windows, the labels collapse to icons, the dock scrolls horizontally, and the Background, Share, Music, and Settings menus remain anchored above it.
Yes. Calls record by default on the client surface. Starting or Confirming remains visible until LiveKit or the authenticated recording service verifies the recording. Then every participant receives the notice and sees the persistent Recording indicator. The employee host-only Record control is not shown here.
No separate checkbox is needed. Every link created by this form stays reusable until the meeting is canceled.
Join this meeting adds live assistance. Start a training session lets the rep learn what you teach for future calls.
The profile photo stays in the space above the name so the participant label remains readable in filmstrip, grid, and focus views.
Mic, Start video, Share, Chat, Transcript, People, Background, Music, and Settings stay in the bottom control dock below the meeting workspace. If the room cannot publish a live microphone, a recovery banner offers Reconnect microphone.
A signed-out visitor enters a name and email and continues as a guest without an account verification handoff. The guest completes the same green-room microphone check used by the app. If the host is not present, the guest waits until an authenticated SalesHive host joins. A signed-out host must use the host sign-in link to start the room.
There is no separate Join muted path in the green room. Complete the microphone check and join voice-first with the microphone on, then use Mic to mute after entering.
Before joining, wait for the microphone check to finish. If access is blocked or unavailable, choose another input or select Retry microphone. After joining, use Reconnect microphone or Settings, then speak and confirm the live meter moves. SalesHive verifies the published track and reports blocked permission, no device, or another app using the microphone instead of leaving the control in a false unmuted state.
If Share cannot start, SalesHive shows a screen-share message that explains whether browser or system permissions blocked capture, no display or window was available, another app is using capture, this browser or context does not support sharing, or you canceled the picker. Follow the message and try Share again.
A hand raise stays on your tile until you select Lower hand, including for people who join later. A reaction appears for about four seconds, then clears automatically. Neither action changes meeting or recording data.
Wait for the participant notice and persistent Recording indicator before treating the call as recorded. The room is checking the authoritative recording service and will keep retrying if the room metadata signal is delayed.
They stay hidden throughout Video Conferencing routes so they do not cover the meeting workspace or bottom call controls. They return when you leave the Video Conferencing route.
It starts on automatically. Supported browsers use LiveKit Cloud enhanced noise cancellation together with browser echo and standard noise controls. Other browsers keep browser echo cancellation and standard noise suppression. Open Settings to see the active mode or turn cancellation off for music and instruments.
Everyone in that exact linked meeting can see the shared workspace after their room token is verified. Guests and clients receive only the shared document. They never receive SalesHive's Internal command center or private notes.
No. Shared notes update autonomously from spoken meeting content about once a minute and finalize when the note taker leaves the room.
No. Shared generation uses only the meeting transcript and the previous shared document. Employee emails, internal notes, private coaching, red flags, and renewal risk are not provided to it.
Background effects run on your device and appear only when the browser supports a safe processing path. SalesHive uses a quality-optimized path where available and a compatible fallback on other supported browsers. If processing is unavailable or an effect fails, the choices stay hidden or return to None, the unsafe saved choice is cleared, and the camera remains usable. Try again on a current Chrome or Edge browser. On supported browsers, SalesHive now starts effect loading with the active camera so initialization can complete normally.
Select Enlarge on the shared-screen tile, or click the tile itself. The focused layout changes only for you. Select Unpin to return to the gallery. This works even when Keep everyone in grid is enabled.
If the browser audio track ended, stayed muted, or disappeared, SalesHive reacquires the selected usable microphone and verifies that a live track was published. Follow the permission or device message, or open Settings, choose another input, and use Restart microphone while watching the meter.
No. Joining and screen sharing stay in the main call window. Settings no longer includes an automatic floating camera overlay.
