Published client result / Fleet software

40 meetings booked by email

Part of a phone-led program with 564 total meeting bookings, from October 2023 to October 6, 2026.

Recorded bookings, not attendance or closed revenue. One client result, not evidence of an inbox-placement rate or a guarantee.

01 / Prepare the sender

Ready to send. Not rushed to scale.

Deliverability depends on the sender, the audience, and the message together. Give the infrastructure time and attention before increasing volume.

  1. 01 / Set up

    Build the sending foundation

Configure dedicated sending domains, mailboxes, and authentication before outreach begins. SalesHive can buy sending domains, configure DNS automatically, provision SSL, and set up SPF, DKIM, and DMARC.

  2. 02 / Ramp

    Choose a measured pace

Use configurable warming and sending limits. Set the start, ceiling, and pace rather than increasing volume all at once. The deliverability dashboard shows where each sender sits in its ramp.

  3. 03 / Review

    Watch the signals

Review bounce rates, complaints, authentication, and warmup status. Use the findings to guide the next operational step. Warming is preparation, not a guarantee of inbox placement.

02 / Authentication

Three records. Different jobs.

Know what each record does before treating authentication as complete.

SPF

Lists which servers are allowed to send mail for your domain, so receivers can reject forgeries claiming to be you.

DKIM

Signs every message with a cryptographic key. The receiver checks the signature to confirm the mail really came from your domain and was not tampered with.

DMARC

Ties SPF and DKIM together and tells inbox providers what to do with anything that fails, the policy that protects your domain from spoofing.

03 / After launch

Keep health checks connected to sending.

Mailbox preparation is not the last check. Review the audience, sender and message as the campaign runs.

  • Infrastructure

    Tracking domains

Separate tracking infrastructure from the main application domain, with client-level assignment.

  • Audience

    Address validation

Use email validation and cached results to identify risky records before sending. A valid address does not guarantee delivery or an interested buyer.

Campaign limits, mailbox windows, and opt-out handling stay part of the email workflow.

When something changes

Investigate before increasing volume.

Review available bounce, complaint, authentication, and warmup signals alongside campaign results. Use the findings to guide the next operational step, rather than treating more sends as the fix.

04 / Scope and fit

Start with your setup. Agree on the scope.

Bring your current sending setup, target audience and volume goals. Discuss how domain preparation, warming and monitoring fit the outreach you need.

Ramp and quality

Preparation comes before volume

The ramp is configurable, not a fixed deadline for inbox placement. Review the starting point, ceiling and pace alongside authentication, audience quality and content.

Email deliverability FAQs

From setup to sending.

What is email warming and why does it matter?
Warming introduces sending activity gradually while the team monitors mailbox health. It is one part of preparation alongside authentication, audience quality, content, and measured volume. Warming does not guarantee inbox placement.
How does the volume ramp work?
The ramp is configurable. A typical schedule starts low and climbs over a couple of weeks, for example 2 emails a day building to 20 a day over 14 days, so volume rises only as fast as reputation can support it. You control the start point, the ceiling, and the pace, and the deliverability dashboard shows where each sender sits in its ramp.
Do I have to set up domains and DNS myself?
No. We handle the full domain lifecycle. We can buy sending domains for you, configure DNS automatically, provision SSL, and set up the DKIM, SPF, and DMARC records that authenticate your mail. That authentication is what lets inbox providers trust your sends, and getting it wrong is a common reason cold email lands in spam, so we own it end to end.
Why use a separate tracking domain?
A separate tracking domain keeps tracking infrastructure distinct from the main application domain. SalesHive supports client-level tracking-domain assignment. Tracking configuration is part of the wider deliverability review, alongside the audience, sender, and message.
How do I know my deliverability is actually healthy?
Review available bounce, complaint, authentication, and warmup signals alongside campaign results. Address validation helps flag risky contacts, but a valid address does not guarantee delivery or an interested buyer. Investigate changes before increasing volume.
How does this connect to the rest of the email platform?
Domain setup, mailbox preparation, tracking configuration, and monitoring support the same platform that writes and sends outreach. Sending limits and suppression checks remain part of the workflow. See the email platform page for campaign and follow-up controls.
