Overview

The Platform Deal Room is the signed-in workspace for clients and SalesHive staff for launch progress, bookings, resources, agreement history, and read-only public-share awareness. For every current client in Onboarding or Active, the authenticated room keeps Sales Playmaker available throughout delivery. Sales prospects still require the configured stage visibility plus a durable Deal Room or signed-agreement milestone. Playbook Review booking uses the shared onboarding calendar and the resolved host calendar, so company blocks, holidays, and host conflicts are excluded before a time is shown or saved.

How to use this page

  1. Select a client

Open Platform > Onboarding > Deal Room and select a client with the sidebar client selector. The page renders that deal’s room.

  2. Open the room from a specific link

A valid authenticated Platform link verifies access, opens the correct deal, and synchronizes the active client context while the interactive room finishes loading.

  3. Understand a public review link

A public /room/share link is a separate, read-only review link. It is scoped to the deal, can expire or be revoked, and does not expose authenticated editing controls.

  4. Review engagement carefully

Public-share engagement is recorded for the shared room so the team can understand review activity. It is awareness data, not a substitute for a confirmed client action.

  5. Review the launch timeline and cards

Review milestones, bookings, recordings, assigned team members, and resource links for the selected deal. When agreements are available, Agreement History preserves each signed agreement, marks the current agreement, and opens the selected signed document in a separate tab. In the Launch Timeline, each step reads Completed, In Progress or Upcoming. Neighbouring stages with the same name, such as Intro Meeting, show as one step. A current Playbook step reads Being prepared until the Playbook is shared with the client.

  6. Schedule a Playbook Review

Choose Schedule for a new Playbook Review. In a signed-in, editable room, a previously scheduled review also offers Reschedule after completion or recording. Select Reschedule to review the cancellation notice. Confirm reschedule cancels the existing meeting and notifies attendees before opening the new-time picker; Keep meeting leaves it unchanged. Offered times exclude shared onboarding and host-calendar conflicts, including company blocks and holidays. Check the host name and meeting length, choose a time, then Confirm Booking. Availability is checked again before saving the new booking. If the time becomes busy or calendars cannot be verified, choose another time or retry as directed.

  7. Open Playmaker throughout client delivery

For a selected client in Onboarding or Active, use the Sales Playmaker card or the Sales Playmaker resource to open the deal questionnaire at any current stage. The client-pipeline rule keeps it available before kickoff, during playbook work, and after launch even when the current stage does not enable the older stage-level Playmaker setting. Sales-pipeline prospects still follow stage visibility and Deal Room or signature milestone rules. Read-only public review shares do not expose this authenticated action.

  8. Choose your preferred appearance

Use the app theme control to choose light, dark or system appearance. The signed-in room and its dialogs follow that choice; the proposal keeps its white paper surface. Your chosen background also shows here, in its light or dark version: the middle column turns clear and the Launch Timeline and Your Team rails become soft glass, while cards stay solid for easy reading.

What the buttons do

Select Client
Sidebar client selector that scopes the Deal Room to the selected deal.
Open Playmaker
Opens the selected deal Sales Playmaker. It remains available throughout Onboarding and Active in the authenticated room.
Schedule / Reschedule
Opens meeting booking. A signed-in, editable Playbook Review card keeps Reschedule available for a previously scheduled review even after completion or recording. Other meeting cards retain their existing completion restrictions.
Confirm reschedule / Keep meeting
Confirm reschedule cancels the existing meeting and notifies attendees before opening the new-time picker. Keep meeting dismisses the notice without canceling.
Confirm Booking
Rechecks Playbook Review availability before saving. A newly conflicting time is refused, and an unverifiable calendar leaves the booking unsaved so it can be retried.
Recording / Transcript
Recording opens a completed meeting recording when playback is ready; Transcript opens its saved transcript. When a meeting has several recordings, each button shows that recording's date, such as Recording Aug 20, with the time added when two fall on the same day.
Agreement History
Lists signed agreements for the deal and identifies the current agreement.

Common questions

No. A public share is read-only. Authenticated mutation controls remain available only in the signed-in workspace.
Yes. Public shares can expire or be revoked, so a previously issued link is not permanent.
It preserves the signed agreements available for the deal. The current agreement is marked for clarity, and each item opens its signed document in a separate tab.
Signed agreements and deal attachments such as the redlines document are private. Signed-in SalesHive staff and members of the client workspace can open them. Someone viewing a public review link gets a file link that works for 24 hours; opening the room again gives a fresh one.
It records interaction with the shared room for review. It does not by itself confirm approval, payment, or another client commitment.
The selected deal is a current client in Onboarding or Active, so the authenticated Deal Room keeps Playmaker available throughout delivery. The older stage visibility rule still controls Sales prospects before they become clients.
The slot may overlap a company block or holiday on the shared onboarding calendar, or a conflict on the host calendar. On daylight-saving change dates, the picker also omits skipped clock times and ambiguous later occurrences. The full meeting duration must fit before the host availability ends, even when clocks change. Choose another offered time.
Confirm Booking checks availability again. If the time is now busy, nothing is created or moved and the page asks you to choose another time. If calendar availability cannot be verified, the booking also remains unchanged so you can retry safely.
Yes. In a signed-in, editable Deal Room, a previously scheduled Playbook Review keeps Reschedule available after completion or recording. Review the cancellation notice, confirm if appropriate, then choose and confirm a new time. Read-only rooms do not expose this action.
When the proposal is available, the SalesHive wordmark appears above Let’s Get Started. It is part of the document header. Review the proposal and use the available controls as usual; the logo does not change plan selection or signing.
The signed-in Deal Room follows your app theme, including its loading screen, error messages and dialogs. The proposal keeps its white paper background. In both themes, the background you picked from the Background menu (in the sidebar icon row on a computer, or the top bar on a phone) or the company default shows around the cards; with Charcoal (Plain in light mode), the room keeps its solid look. Public room links keep their own styling.
The Deal Room opens for a self-serve workspace only while SalesHive has a managed service proposal open for it. Its link then appears in the Onboarding folder, and signed-in members see the proposal and can sign it; public share links never show it. There is no launch timeline. Without an open proposal the link is hidden, and opening the page goes to Get set up, or to Contacts if the member cannot open the checklist. Signing moves the workspace to Onboarding and ends its self-serve plan at the close of the billing period.
The Playbook is the current step but has not been shared with the client yet, so it cannot be opened. The step switches to In Progress once the Playbook is shared.
Intro and Demo meetings and Proposal Review last 30 minutes; Kickoff lasts 90 minutes; Playbook Review and Pre-Launch last 60 minutes. These lengths are fixed for the meeting type, even if the host has a different default booking duration. Offered times must fit the full meeting before the host availability ends and avoid calendar conflicts, existing meetings and any applicable buffer. If no times are available, choose another date. If times fail to load, use Retry.
Intro, Demo and Proposal Review use the assigned sales rep. Kickoff uses the assigned onboarding specialist, or the designated onboarding fallback if no specialist is found. A new Playbook Review uses the assigned strategist when an email is available, otherwise the shared onboarding calendar. An already scheduled review keeps its saved calendar owner; older reviews without one use the shared onboarding calendar. Pre-Launch uses the strategist, or the sales rep if no strategist is assigned. The availability picker and booking use the same host rules. Check the host name beside the meeting length before confirming.
Ask your SalesHive team to check the host assignment and email, then reopen the booking form. No booking or invite is created for this error. A missing Kickoff or saved Playbook Review host does not automatically switch the meeting to the sales rep. A host record with an empty email also prevents booking.
