Manage client logins, seats, roles, and individual permissions for the selected client.

Overview

Users manages client logins for the selected deal. Add or reuse passwordless email-code logins, correct a member's name or email, archive or reactivate access, and let admins use each member's More menu to preview the exact selected-deal experience, remove access, or grant tightly bounded booked-meeting status updates. Client Admins and authorized internal administrators can assign available client roles when adding users or managing another active member. Each role applies only to the selected client. In a self-serve workspace, each active member uses one paid seat, the page shows how many seats are in use, and new members get an invite email that a Client Admin can resend until they first sign in. Client Admins also get an in-app notice when a colleague asks to join, which opens Add User filled in.

How to use this page

  1. Select the client deal

    Choose the client in the switcher. The page and every action are scoped to that selected deal, so a multi-deal client login can be managed one deal at a time.

  2. Review the team

    The stat band shows Active and Archived members for this deal. In a self-serve workspace it also shows Seats in use, for example 3 of 5, with a link to Plan and billing (it reads Add a seat when every seat is taken). Each directory row shows the member, email, role, Email code, join date, last login (or Never), and available actions. A Meeting status badge identifies a member with the selected deal's active grant. Turn on Show Archived to include archived members.

  3. Add a member

    Select Add User and enter a name and email. If you can manage client roles, choose the required Client role, then select Add User. The SDR preset is preselected when available. Choose Admin, User, SDR, another available shared role, or Custom. For Custom, review every Allowed actions checkbox before adding the member. The role and membership are saved together for this client. An eligible existing active client login can be added without changing its other client memberships. In a self-serve workspace, a Client Admin cannot add an email that already signs in to another SalesHive workspace; the form says so, so ask the person to use a different email. If the user already belongs to this client, use the directory to change their role instead. Add User does not reactivate a globally inactive login; follow the displayed guidance. In a self-serve workspace with every seat taken, the form says so and links to Plan and billing; add a seat there first. In a self-serve workspace, SalesHive also emails the new member an invite with a sign-in link and their email filled in. A success message confirms Invite sent. If the invite fails to send, the member is still added; use Resend invite from their More menu, or ask them to sign in at app.saleshive.com with that email.

  4. Add a colleague who asked to join

    In a self-serve workspace, a colleague at your company can use Ask your admin to add you when they try to sign up. Each Client Admin gets an in-app notice with their name and email. Open the notice to land here with Add User already filled in. Check that you know the person, choose their role, then select Add User. The request grants no access on its own, and SalesHive has not confirmed the person owns that email. If they are already an active member, a message says so and the form stays closed.

  5. Edit client details

    Choose Edit on another member's row, update the name or email, then select Save details. Email is required, validated, and cannot duplicate an existing client login. If the person also signs in to another SalesHive workspace, a client admin cannot change their sign-in email here; the save stops with a message, so ask the SalesHive team to change it. The current user cannot edit their own card here.

  6. Use More for secondary actions

    Select More on another member's row to open the action menu. From there, archive or reactivate the member. Admins can also enable or disable meeting status access, use Login as user for an active member, or remove that member from the selected deal.

  7. Resend an invite

    In a self-serve workspace, a Client Admin can send the invite email again to an active member who has never signed in (Last login reads Never). Select More on their row, then Resend invite. A success message confirms who it went to. Once the person signs in, the option disappears.

  8. Preview the exact client view

    Admins can choose More, then Login as user for an active member. SalesHive chooses the starting page from the selected client's permitted pages, preferring Client Agents, then Campaign Dashboard, then Playmaker when each is available. It keeps the authorized deal pinned. If no starting page is available, the preview does not begin; ask an administrator to review page access. Use Stop Viewing in the top banner to end the preview and clear its client context.

  9. Grant booked-meeting status access when needed

    Admins can select More, then Enable meeting status for an active member and confirm the grant. That member can change only the permitted Meeting Set statuses. The grant does not allow changes to meeting dates, owners, notes, or other fields. Select Disable meeting status to remove it.

  10. Archive, reactivate, or remove access

    More contains Archive user or Reactivate user for any other member. In a self-serve workspace, reactivating needs a free seat; if none is left, an error explains that all seats are in use. In a self-serve workspace, the last active Client Admin cannot be archived; make someone else a Client Admin first. Admins can use Remove from deal to remove only the selected deal membership, subject to activity protections.

  11. Assign a client role

    As a Client Admin or authorized internal administrator, use the role selector on another active member. For a standard or shared role, review the person, role and selected client, then confirm Change Role. Choosing a standard role replaces prior Custom permissions. In a self-serve workspace, the last active Client Admin cannot be moved to another role, including Custom. Your own role and inactive members cannot be changed here. Wait for Client role updated before leaving.

  12. Customize one member's permissions

    Choose Custom in another active member's role selector, or Edit permissions for an existing Custom member. Review Allowed actions, check what the person needs, and select Save permissions. Cancel closes without saving. These permissions apply only to this person on the selected client and do not change shared role presets. Unchecked actions are unavailable; selecting none disables all listed actions.

What the buttons do

Edit
Open the Edit Client User dialog to correct another member's name or email. A client admin cannot change the email of someone who also signs in to another SalesHive workspace.
More
Open the row action menu for archive or reactivate. Admins also see meeting status access, Login as user, and Remove from deal when allowed.
Resend invite
Self-serve workspaces only. In the More menu, a Client Admin can email the sign-in invite again to an active member who has never signed in. Limited to once per member per hour and 5 per workspace per day.
Add User
Create a new client login or add an existing login to the selected deal. In a self-serve workspace it also emails the member an invite. A join request notice opens it with the colleague's name and email filled in.
Archive user / Reactivate user
Stop or restore selected-deal access while preserving the login and history.
Enable meeting status / Disable meeting status
Give or remove the selected deal's limited Meeting Set status-update access.
Login as user
Open the member's permitted view with this exact authorized deal pinned for the preview.
Stop Viewing
End the admin preview, clear its client context from this tab, and return to the Platform.
Remove from deal
Remove access only to the selected deal while retaining other memberships when applicable.
Client role / Change Role
Choose an available role when adding a user, or confirm a role change for another active member of the selected client.
Custom / Edit permissions
Open individual Allowed actions for another active member of the selected client.
Save permissions
Save the reviewed Custom actions for this membership.
Show Archived
Include archived members in the directory. The count of archived members appears in the label.
Plan and billing / Add a seat
Self-serve workspaces only. Opens Plan and billing from the Seats in use count or the Add User form so you can buy another seat.

Common questions

Yes, with Edit: enter the new valid email and select Save details. SalesHive prevents an email already used by another client login. If the person also signs in to another SalesHive workspace, only the SalesHive team can change their sign-in email, so a client admin's save stops with that message and nothing changes, including a name edited in the same save. Save the name on its own, and ask the SalesHive team for the email change.
Select More on the member's row. Archive or Reactivate appears for another member. In a self-serve workspace, a Client Admin also sees Resend invite for an active member who has never signed in. Admins see additional permitted actions such as meeting status access, Login as user, and Remove from deal.
No. Edit is shown for other members, not the current user.
Client portal members verify a new browser with a one-time code sent to their email. There is no password to set or reset. In a self-serve workspace, a new member also gets an invite email from SalesHive with a Sign in to SalesHive button, and a Client Admin can send it again with More, then Resend invite, until they first sign in. For other clients no invite is sent, so let the person know they can sign in with their email.
Archive keeps the selected deal membership inactive. Remove from deal removes access to the selected deal while retaining other memberships when applicable.
An admin can grant an active client member permission to update only the allowed Meeting Set statuses for the selected deal. It cannot edit other meeting details.
No. The preview uses the exact deal authorized when Login as user begins and keeps that deal pinned until you select Stop Viewing.
SalesHive chooses the starting page from the selected client's permitted pages, preferring Client Agents, then Campaign Dashboard, then Playmaker when each is available. No. The role applies only to the selected client. Existing memberships and roles for other clients remain unchanged.
Admin includes account access and managing other users' roles. User retains existing account access without role management. SDR is a shared preset for calling, manual email and contact updates. Custom lets you choose the listed actions for one member. Other shared roles use their saved preset.
No. Custom users cannot manage user roles, even with every checkbox selected. Existing client features, page access and other permission checks still apply.
No. It replaces the role preset for this membership only. Other people and the user's access to other clients keep their existing settings.
In a self-serve workspace, each active member takes one paid seat. When every seat is in use, or the plan has not started, SalesHive stops the add or reactivation and links you to Plan and billing. If the workspace already has more teammates than seats (for example after seats were lowered in Stripe), the message says how many of each; everyone keeps access, but you need to add seats first. Add a seat in Plan and billing, or archive a member you no longer need, then try again. Someone who is already an active member never needs a second seat. If the message says the email already signs in to another SalesHive workspace, nothing was added and no seat was used; ask the person for a different email. Re-adding someone who already belongs to this workspace is not affected.
You opened a workspace join request notice. It fills in the colleague's name and email once, then clears them from the address so a reload does not reopen the form. Nothing is saved until you select Add User, and the usual seat limit and invite email apply.
Resend invite shows only in self-serve workspaces, only to a Client Admin, and only for an active member whose Last login reads Never. Each member can get one resend per hour, and the workspace can send 5 resends in a rolling day; the message says how long to wait. If the person has already signed in, they do not need a new invite. A send that fails does not count toward the limits, so you can try again right away.
