Overview

Follow-Ups is the selected-client workspace for pending and completed Potential, Confirmation, Reschedule, Asked for Info, Referral, and Callback work. Every internal selected-client board uses workspace controls, a strict read-only All overview, and Last Outreach for rows it is already allowed to show. Across internal selected-client boards while the rollout is active, priority controls assign supported Pending actions a read-only priority state. Separately enabled reminders let authorized internal users pause eligible Potential, Asked for Info, or open Reschedule work with a future date, including on boards without the full calendar presentation. Priority is summarized by filters and counts. Not scheduled flags missing data, while qualifying attempts show their date, result, and needs next step. Expand a focused row and review Activity Notes before using the reminder controls shown below the loaded history. An active reminder keeps its row badge, moves the contact out of active family work until the saved future date, and remains visible in All, Reminders, Activity Notes, and the supported Calendar presentation. Grouped All and Reminders omit any follow-up family with no matching rows after filtering, while the direct family tab keeps its normal empty state. Search, filter, sort, and act from a focused family tab. On internal boards while the priority rollout is active, ordinary date-based work stays out of Overdue only when a recent provider-backed call belongs to that exact open action and occurred on the previous local calendar day or later relative to its current date-only due date. Where email evidence is enabled, a verified human SDR Inbox reply can also qualify for Potential and Asked for Info under the current-date rules. Generic email, unrelated calls, and unavailable evidence do not qualify. An unanswered prospect reply takes priority over worked credit. Timed promises and confirmations retain their urgency until their workflow resolves them. If priority is disabled for the board, the existing recent outbound call or confirmed sent-email rule applies. Use All Timing to review open work. Its saved date is unchanged, and it can return to Overdue when the five-business-day window expires. Editable Follow-Up Date values open a calendar that stays above surrounding rows and inside the visible browser area. In Callback, use Call for the exact callback, or select Remove Callback and pick what happened. Callbacks due today also complete automatically when the prospect is reached by call or email reply. Client users retain their established Follow-Ups presentation. A provider-backed No Answer saved by the assigned SDR from a verified direct Follow-Ups call automatically moves due Asked for Info work or the exact called Callback seven calendar days after the call, unless the SDR chose a different date or an Asked for Info date is already in the future. Callable Potential and Asked for Info rows keep Call active and hide stale or Calendar-only blocked-call warnings. On internal Follow-Ups boards, authorized callers can select contacts in Potential, Asked for Info, Referral, Confirmation or Reschedule across selected clients. Call selected appears only after selection and counts eligible selected contacts within current calling assignment or active relief coverage. Select all uses the same action. One eligible campaign opens directly; multiple campaigns run in the protected sequence. Current calling readiness is required. Selected booked Confirmation and Reschedule work can use its own active, paused, completed or archived campaign history. Each selected contact must retain booked-meeting evidence and pass current eligibility checks. Potential, Asked for Info and Referral sequences still require active, non-archived campaigns. Client-wide outreach pauses still prevent calling. Potential, Asked for Info and Referral also require unpaused client outreach. Emergency availability controls and role checks still apply. This does not add combined calling to All, Calendar, Callback or the standalone Potential Meetings page. Review the first setup. Matching settings continue automatically after call review and saving finish. Reschedule, Potential, Asked for Info and Referral keep each campaign's own script, template choices, email settings, booking instructions and attribution. Different settings or missing comparison evidence pause for a summary, named next-campaign confirmation and setup review. Confirmation retains its compatibility checks. Each handoff rechecks assignment, exact selected work, phones, calling hours and compliance. End session stops the run; Finish combined run exits from setup. Return to Follow Ups restores the saved family, search, filters and sorting. Activity Notes labels email events Sent email and includes the latest valid campaign, responder, and Inbox sends linked to the exact contact inside the selected client. A synchronized email recorded in more than one source appears once. Confirmation labels wrap inside their Action pill when needed, keeping the adjacent Follow-Up Date clear and readable. Confirmation work is created only for active Meeting Set and Meeting Rescheduled records. Closed outcomes do not return to the Confirmation queue just because a historical meeting date remains on the contact. On enabled internal views, a date-only follow-up marked Worked, needs next step shows Original due when it has both a saved due date and qualifying outreach evidence. The date is visually subdued because it is context for the work already attempted. It is not cleared or moved, and the follow-up remains open. Timed promises, confirmations, missing evidence, and work that needs attention keep Follow-up Date. Review Activity Notes and choose the next step using the controls available in that view. In the SalesHive Testing validation only, authorized employees also see a separate editable Referral research panel in Referrals and research and All. Live-client and client-user workflows are unchanged.

How to use this page

  1. Choose the work queue

    Use the family tabs to open Potential, Confirmation, Reschedule, Asked for Info, Referral, Callback, or Done when those families are available for the selected client. On internal boards, All combines the visible families into a compact read-only overview and directs you to a focused tab before calling or updating a follow-up. On an enabled internal reminder pilot, Reminders collects paused Potential, Asked for Info, and Reschedule work for review and reminder management. Confirmation contains only active Meeting Set and Meeting Rescheduled records with a scheduled time. Cancelled, held, completed, qualified, blacklisted, unresponsive, unqualified, and other closed outcomes stay out even when historical meeting fields remain. In the SalesHive Testing validation only, authorized employees also see a separate editable Referral research panel in Referrals and research and All. Live-client and client-user workflows are unchanged. Referral includes eligible prospects with a referral source who are still Uncontacted or Attempting. Authorized staff can record that source with Referred by on Contact Detail; changing the person's status to Referral is not the way to add them to this queue.

  2. Review an unavailable confirmation call

    Due confirmations stay visible for review when calling is unavailable. Read the explanation beneath the row: the client may have paused outreach, Calls may be off, a phone number may be missing, or no eligible campaign enrollment may exist. Blocked rows cannot be selected or called and are excluded from Call selected. Ask your manager to review the cause; appearing in the queue does not make the contact callable.

  3. Keep grouped views focused

    In All and Reminders, SalesHive shows only follow-up families that contain at least one matching row after all active filters are applied. An empty Potential family is omitted from these grouped views. Open the direct Potential tab to see its empty state when no Potential work remains.

  4. Narrow and order the rows

    On an internal board, use search, Campaign, Set By, timing, Last Outreach, and property filters to find the right work. Where the priority pilot is active, use All priority states, Needs attention, Worked, needs next step, Scheduled, or Not scheduled to narrow Pending. Pending rows can be sorted by current order, prospect, company, follow-up date, Last Outreach, campaign, or Set By. Referral Set By values come only from exact same-client referral disposition and active dial-session evidence. Missing or conflicting evidence stays Not recorded. Export CSV follows the active filters and includes the recovered referral attribution when available. On Potential and Asked for Info, open Filters to find Outreach recency. Choose all outreach, outreach in the last five business days, older outreach, or no recorded outreach. The choice applies immediately to the current tab once evidence has loaded. Refresh and Back keep your search, filters and sort for this client; opening Follow-Ups from the sidebar clears them.

  5. Read Asked for Info evidence labels

    Internal Asked for Info rows can show Engaged follow-up, Information only or Needs review with a short reason. A recorded information request alone is Information only. Engaged follow-up requires a verified interested outcome, or a callback with a current follow-up date, after the latest Asked for Info status change. Status alone, missing or conflicting history, and unsupported next steps stay Needs review. Read the conversation and check what was requested and sent. Information only does not mean no interest. These labels are review aids. They do not change status, dates, reminders, priority, calling eligibility or ownership. Keep existing callback and reply dates. Client views and Calendar retain their established presentation.

  6. Read Confirmation actions cleanly

    In the Action column, a longer Confirmation label such as 24H CONFIRMATION wraps inside its pill when needed. The label remains centered within the assigned Action track, so it does not collide with or cover the adjacent Follow-Up Date.

  7. Use the Overdue timing filter

    On internal boards while the priority rollout is active, ordinary date-based work stays out of Overdue only when a recent provider-backed call belongs to that exact open action and occurred on the previous local calendar day or later relative to its current date-only due date. Where email evidence is enabled, a verified human SDR Inbox reply can also qualify for Potential and Asked for Info under the current-date rules. Generic email, unrelated calls, and unavailable evidence do not qualify. An unanswered prospect reply takes priority over worked credit. Timed promises and confirmations retain their urgency until their workflow resolves them. If priority is disabled for the board, the existing recent outbound call or confirmed sent-email rule applies. Use All Timing to review open work. Its saved date is unchanged, and it can return to Overdue when the five-business-day window expires.

  8. Use priority as a review aid

    On enabled internal boards, Worked, needs next step means a qualifying provider-backed call was made on the local calendar day before the current date-only due date or later, or at or after the promised time for a timed callback and falls within the latest five SalesHive business days. The work stays open. Needs attention means due work lacks that evidence. Scheduled means not yet due, including date-only work due today without a qualifying attempt. Not scheduled means no valid date is saved. Use the Priority filter and counts. Qualifying attempts show the call date, result, and needs next step; hover for time and caller when recorded. A callback completed because the prospect was reached another way (for example Reached by email or Prospect called us) also counts as a follow-up attempt on that prospect's other open work, except Confirmation, and shows the outcome with callback completed.

  9. Review activity before pausing

    On an enabled internal pilot board, open a focused Potential, Asked for Info, or Reschedule tab and expand the row. Wait for Activity Notes to load, then review the latest calls, emails, notes, and reminder history. The pause controls appear below that loaded history so the reminder decision follows the available context instead of competing with the row's primary Call action.

  10. Pause work with a reminder

    Below the loaded Activity Notes, select Remind Me. Choose 30, 60, or 90 days, or enter another future date up to 90 days away, add a required reason, and select Set Reminder. The chosen preset stays highlighted, and assistive technology announces the same selected state. The contact stays in the same workflow, its Follow-Up Date moves to the reminder date, and it leaves the active family queue until that date. The active Reminder set badge remains visible on the row with the date and reason.

  11. Review or change paused work

    Open Reminders to review all currently paused eligible work. This queue is read-only for normal calling, selection, dates, notes, completion, and closure. Expand a row, wait for Activity Notes, then use Change Reminder or Cancel Reminder below the loaded history. Changing a reminder replaces its date or reason without losing the original pre-reminder date. Cancelling restores that original date after confirmation. Created, changed, and cancelled reminder events and their reasons remain in Activity Notes. All also keeps paused rows visible, and the supported Calendar presentation labels reminder-backed actions as Reminder set. Active family counts exclude currently paused work, Reminders counts only eligible paused work, and All includes both under the current filters. Confirmation, Referral, and Callback do not appear as reminder work. On the saved date, the reminder stops pausing the item; its current eligibility and filters still determine whether it appears.

  12. Wait for Last Outreach evidence

    The work queue appears before the separate Last Outreach read finishes. Loading means the call and email evidence is still arriving. Outreach recency and Last Outreach sorting stay unavailable until that read completes, so the page does not mistake missing evidence for No outreach. Unavailable means the evidence could not be loaded for this visit, but the core follow-up rows remain available for review.

  13. Set the next follow-up date

    In a direct Potential, Asked for Info, or Reschedule tab, select the current Follow-Up Date to open the calendar, then choose a preset or day. The calendar remains fully visible above the surrounding follow-up rows and repositions within the browser window when space is tight. You can clear an optional date. The page saves an actual change with the previous value, new value, actor, and family source. All and Reminders remain read-only for direct date editing, Callback task dates stay in their separate task workflow, a Bad timing or Out of office date in Callback can be moved but not cleared, and client sessions do not receive these editors. The Email Responder and After Conversation Agent can fill an empty follow-up date, but cannot replace or clear a saved one. Agent emails also leave the saved date in place. Review any new timing request yourself using the available date control.

  14. Select eligible Potential work

    In the focused lightweight Potential view, use the visible selection summary and row checkboxes to select eligible prospects. Select all includes only currently selectable rows. The bulk bar groups callable prospects by campaign, and each campaign button opens the matching Dialer group. All and Reminders stay read-only and show no selection controls.

  15. Call several Bad timing or Out of office callbacks

    In the Callback tab, tick Bad timing and Out of office rows, or use Select all visible, which picks only rows that can be called now. The bar shows how many are selected and callable, with one Call <campaign> (n) button per campaign that opens that campaign's Dialer with those prospects. Clear empties the selection. Call Back Later rows show a greyed-out checkbox and keep their own Call button, because each call closes exactly one callback task. A row that cannot be called right now has a disabled checkbox; hover it for the reason. All stays read-only.

  16. Check calling eligibility

    Potential and Asked for Info rows remain visible when calling is blocked, but Call and selection are disabled and the exact reason is shown. Current status, contact or domain blocks, booked or qualified company rules, the client working that company in its own pipeline, another SDR's active session, and campaign availability are checked before the Dialer opens. A blocked reason appears only when the row is actually unavailable. When the shared eligibility check marks the row callable, the page keeps Call and selection active and hides stale or Calendar-only warning copy. In the revised internal All overview, a blocked-call explanation sits on its own line below the row so Action, Follow-Up Date, Last Outreach, Campaign, and Set By stay aligned. Use the focused family tab for available actions.

  17. Review Activity Notes and add context

    Expand a focused Potential, Confirmation, Reschedule, Asked for Info, Referral, or Callback row to review Activity Notes. The timeline includes the latest calls, valid sent campaign, responder, and Inbox emails, saved notes, follow-up-date updates, and reminder events linked to that exact contact in the selected client. Loading and empty states use sent emails as the inclusive label for these outbound messages. Email entries are labeled Sent email, and synchronized duplicates appear once. Use the Reminders filter to isolate reminder events where available. Internal users can enter a contact note under Add Note and select Save note. After a successful save, the timeline refreshes immediately. Client sessions, All, and Reminders remain read-only for note entry.

  18. Call or complete the follow-up

    Use Call from a focused queue to open the campaign Dialer. The Dialer returns to the originating Follow-Ups tab with server-fresh dates and completion state. On a Callback row, Call is the path for completing that exact action after a finalized outbound attempt. To close a callback without a call, use Remove Callback (see Remove a Callback and record what happened). Callbacks due by the end of today also complete on their own when the prospect is reached: a connected outbound call by the SDR (not a hang-up), an answered inbound call from the prospect, or a real email reply. A callback set for a later date stays open. An inbound callback stays open after a return call that does not reach the caller, and closes after any other result from the assigned SDR's call to that contact on any of their numbers. For a verified direct Follow-Ups call, saving No Answer moves due Asked for Info work or the exact called Callback seven calendar days after the call. An SDR-selected date wins, an already-future Asked for Info date stays unchanged, and other callbacks for that contact due any time on the call's local day move to the same day.

  19. Remove a prospect from active Follow-Ups

    On supported internal accounts, open a focused Potential, Asked for Info or Referral tab. Each row's button is named for its tab: Remove Potential, Remove Asked for Info or Remove Referral. The first click only opens the row so you can review Activity Notes; it changes nothing. With the row open, the same button turns red. Select it again and read the confirmation, which uses the same name. Keep Active cancels. Confirming marks the prospect Unresponsive, clears its follow-up date and closes open Callbacks for that contact. The contact and decision history remain. Use Removed from Follow-Ups to review prior state, actor and time. Existing account and contact-management permissions still apply; client sessions and read-only overviews do not receive this action.

  20. Recognize imported email history

    If Last email shows a date marked (imported), hover for the timestamp and delivery caveat. This fallback appears when no qualifying confirmed sent email is recorded, even if Last call has a verified date. It does not prove delivery, count as recent completed outreach, or remove work from Overdue.

  21. Review call and email progress where enabled

    Across eligible internal selected-client Follow-Ups boards, Follow-Up Stage combines verified outbound calling sessions and confirmed prospect emails after the starting date or a dated manual correction. No prior attempts shows 1st Follow-Up, one shows 2nd, and two or more show 3rd+. A call and its sent email count separately; multiple phone attempts within one session count once. This applies to Potential, Asked for Info, Referral, and Reschedule. Some accounts use separately reviewed starting-evidence rules: imported counts do not establish a stage, and uncertain evidence leaves Stage unavailable. Temporary rollback controls still apply. Client viewers retain their existing presentation. This stage is separate from priority, due dates, stored status and completion. Read the stacked Action badges from top to bottom: follow-up type, then stage and any available priority label. The stacked pills are centered within their column, without a repeated Action heading above each row. When rows stack on a narrower workspace, the pills start on the left edge instead. Text inside each pill keeps its consistent inset. In the revised internal rows on wider screens, the Action, date, outreach, campaign and Set By cells sit at the top of the row, level with the prospect name, on every tab. Their headings stay level with each other even when a cell runs to several lines.

  22. Choose the next step after an attempt

    When a row says Called and needs next step, expand it and review Activity Notes. The attempt has not completed the follow-up. Where reminders are enabled for that family, Choose the next follow-up date explains how to use Remind Me. The previous date and activity remain in history.

  23. Review email replies before choosing the next step

    On enabled internal boards, choose Reply needs attention in the priority filter. Last Outreach shows Reply received with needs response. A prospect reply counts when it comes from the contact's email address, from another address at the contact's company domain (free mail such as Gmail does not count), or as an answer to an email sent to the contact. Review the conversation in Inbox and respond as needed. Any reply sent back to the prospect in that thread, including one from a responder, clears Reply needs attention. Only a verified human SDR reply can show Email reply sent and Worked, needs next step for eligible Potential, Asked for Info, or Referral work. The follow-up stays open. Review Activity Notes before choosing the next date.

  24. Work through the inbound callback backlog

    In the internal Inbound callbacks queue, review counts received over 24 hours ago and needing contact matching. Oldest first is the default; choose Newest first to reverse received order. Use Previous page and Next page for up to 250 items per page. Changing order returns to page one. Open and due snoozed items contribute to pending counts. Review contact matching and calling eligibility before attempting a return call.

  25. Filter inbound callbacks

    In the internal Inbound callbacks queue, narrow the cards on this page with the status chips (All, Ready to call, Needs matching, Voicemail, Missed), the Age menu, the Campaign menu when more than one campaign is present, and Called us more than once. When the list holds more than one SDR's callbacks, choose an SDR from the All SDRs menu beside the order menu. Every choice shows how many callbacks it would leave. Filters only change what shows on the loaded page, and Select all picks only the cards you can see. Select Clear filters to reset. Your filters are kept when you return from the Dialer.

  26. Filter internal work by priority

    Use All priority states to review the supported priority choices and counts. Priority is read-only and available across internal selected-client boards while the rollout is active. Other controls retain their separate availability.

  27. Read verified callback return outcomes

    In Inbound callbacks, read Verified return calls in the last 30 days for linked return calls, covered callbacks, human connections, Meeting Set outcomes and median time to the first linked return. Only newly recorded exact-call links count. Older handled items may have no link. These are call outcomes, not confirmed held meetings. If evidence is unavailable, the callback queue remains usable.

  28. Read a callback voicemail

    In Inbound callbacks, play a voicemail from the recording on the card. Once the text is ready, select Voicemail text beside the player to read it, and select it again to hide it. Text appears a short time after the call and only when speech was detected. It is created for saved contacts and for unknown callers. For a saved contact, scoped callers see it only on their own calls.

  29. Match or close an unknown caller

    When a card says Not a saved contact yet, listen to the voicemail first. If a Sounds like line lists the person you heard, select Confirm match. Select Not them to hide the suggestions. Otherwise select Match to contact, search this client's contacts by name, company or email, and select Match beside the right person. If the call is not worth pursuing, open Close and pick a Not a prospect reason: Spam or robocall, Wrong number, Personal call or Other. SDRs and sales reps can do this on callbacks assigned to them; managers can do it on any callback.

  30. Read Original due after verified work

    On enabled internal views, a date-only follow-up marked Worked, needs next step shows Original due when it has both a saved due date and qualifying outreach evidence. The date is visually subdued because it is context for the work already attempted. It is not cleared or moved, and the follow-up remains open. Timed promises, confirmations, missing evidence, and work that needs attention keep Follow-up Date. Review Activity Notes and choose the next step using the controls available in that view. The worked outreach display shows the call or email reply date first, then a compact outlined result label, such as No answer or Reply recorded, with Needs next step underneath. Hover for available time and actor details. On Follow-Ups, Original due aligns directly beneath its label without the date card border or padding.

  31. Select contacts before combined calling

    On internal Follow-Ups boards, authorized callers can select contacts in Potential, Asked for Info, Referral, Confirmation or Reschedule, then click Call selected. One eligible campaign opens the Dialer directly. Several campaigns run as one guarded sequence, and SalesHive checks every selected contact first. If some cannot be called, a Some contacts can't be called pop-up shows Selected, Callable and Can't call counts and lists each contact with its campaign and reason. Click Skip and call to start with the rest, or Cancel to go back. Skipped contacts stay in Follow Ups unchanged. Review the first setup. Matching settings continue automatically after call review and saving finish. End session stops the run; Finish combined run exits from setup. Returning to Follow Ups restores the saved family, search, filters and sorting.

  32. Open priority and timing guidance

    On an enabled internal Pending view, select the info button beside the Priority filter, labeled About follow-up priority and timing. The popover explains that worked follow-ups remain open until the next step is resolved. Select All Timing to include both worked and overdue items. Press Escape to close the popover.

  33. Review recognized campaign work

    On separately enabled internal accounts, an ordinary campaign call can also mark one dated Potential, Asked for Info or Callback obligation Worked, needs next step. SalesHive must verify the prospect, selected client, campaign, calling session and caller, and find only one unambiguous obligation. Another open or recently completed callback can prevent credit even when it is hidden from the current view. The call must meet the existing due-date and five-business-day rules; timed callbacks still require work at or after the promised time. Later status, date or callback changes invalidate older calls. Confirmation and Reschedule keep their meeting-specific evidence, and Referral remains eligible for verified email credit only. This recognition changes no saved date, status or task completion. Review Activity Notes and choose the next step. Availability is limited to selected internal accounts and can differ between clients; it is not enabled for every account or for client views.

  34. Filter by outreach recency

    On Potential or Asked for Info, open Filters and choose Outreach recency. The choice applies immediately to this tab after the outreach evidence loads. Close hides the panel.

  35. Read an optional follow-up date

    Read the date saved on a Referral row from the new-person form in the Campaign Dialer. Referral dates feed timing and property filters, date sorting, enabled priority states and Export CSV. The Referral row displays this date without an inline date editor. Potential, Asked for Info and Referral show Not scheduled when no valid date is saved. Callbacks and meeting-related work can still show Needs date because those workflows require scheduling.

  36. Remove a Callback and record what happened

    In an authorized internal Callback view, select Remove Callback on the task. A box opens asking what happened. Choose Reached by email, Prospect called us, Reached another way (text, LinkedIn), Handled by a teammate or the client, No longer needed, or Other (type a short note). Then select Remove Callback, or Keep Active to cancel. The four reached outcomes count as a follow-up attempt on the prospect's other open work. No longer needed is saved as Follow-up removed, and neither it nor Other earns that credit. The follow-up date stays, and the contact and meeting status do not change, so set the next step yourself. If saving fails, read the error and refresh before retrying. The read-only All overview does not offer this action.

  37. Stop a meeting follow-up cycle

    In an authorized focused Confirmation or Reschedule tab, select Stop meeting follow-ups. The first click opens the row so you can review Activity Notes. With the row open, select Stop meeting follow-ups again and confirm. For Confirmation, this stops remaining confirmation call tasks for the current booking cycle. For Reschedule, it closes the active reschedule review. Both preserve the meeting record and meeting status and leave automated emails unchanged. Open Callbacks for the contact also close. A later booking or reschedule can start a new cycle. Keep Active cancels without saving.

  38. Review incomplete referrals in Testing

    For approved validation in SalesHive Testing (Do Not Delete), open Referrals and research from your own authorized employee account. In Referral research, choose a research status and select Refresh or Load more research when available. Expand a record to read the original prospect, call notes and instructions. A manager or strategist can choose an assigned strategist as Research owner. This separate queue preserves incomplete referrals without inventing a person or changing the original call result.

  39. Save evidence for manual review in Testing

    On a Needs research record, open Add researched contact information. Enter the person, company, available email or phone, source URL, source description and why the evidence identifies the referred person. Select Save candidate for review before refreshing or changing filters; this form is not autosaved. Assisted research is unavailable during validation.

  40. Confirm the researched person in Testing

    On a Needs review candidate, compare the source with the original instructions and select Find matching client contact. Review a matching contact, confirm the identity checkbox and select Confirm contact. If no active match is found, enter the verified name and phone type when required, confirm the evidence and select Create and confirm contact. SalesHive also checks archived records before saving. Confirmation does not enroll, email or call the person. Use a reason with Close research or Reopen research when the record needs to stop or return for correction.

  41. Read the contact job title

    Find the job title in the prospect cell, on its own line under the company name. A long title is cut short to fit; hover over it to read the whole title. When no job title is saved, that line is left out. Titles appear on every kind of follow-up row, including callbacks, potential meetings, referrals and Asked for Info. The title does not change follow-up status or priority.

  42. Read rows on a narrower workspace

    The page adjusts to its own available width, so a narrower window, an open sidebar or browser zoom all get the same tidy layout. When space is tight, the summary counts move below the Pending actions heading and wrap into even rows instead of overlapping, and the filters wrap onto even rows instead of running off the right edge. On the revised internal board, row details use the available width. On a medium-width workspace, the row buttons tuck into the space at the bottom right, under Campaign and Set By, so the card stays compact. On a narrower workspace the fields stack into two columns or one, the Action badges start on the same left edge as the details below them, and the actions move onto their own line. Stop meeting follow-ups has its own action row when shown beside Mark done and Call. These layout changes do not change eligibility, saved dates, completion or calling rules. All remains a read-only overview.

  43. Coordinate today’s CRS coverage

    Internal users may see CRS coverage today when the selected client has an assigned or in-progress coverage mission spanning today in Eastern time. Review due confirmations with the listed CRS. Set By continues to identify who booked the meeting. This notice does not transfer ownership, grant calling access or change the client-user presentation.

  44. Identify a CRS-booked confirmation

    When a meeting can be matched to its CRS booking assignment, its row shows CRS booked followed by the booker’s name. Confirmation rows also show Confirmation assigned to with that same name. This booking attribution is separate from CRS coverage today and can remain after the mission ends. Set By and existing calling checks remain unchanged. A missing label does not prove that CRS coverage never occurred.

What the buttons do

All / family tabs
Switches between the internal read-only combined overview and each focused working queue. Confirmation includes only active Meeting Set and Meeting Rescheduled records, and grouped views omit empty families after filtering.
Reminders
On an enabled internal pilot board, opens the read-only collection of paused Potential, Asked for Info, and Reschedule work.
Remind Me / Change Reminder
After Activity Notes load on an expanded eligible row, creates or revises a future reminder with a required reason.
Cancel Reminder
From an expanded Reminders row after Activity Notes load, confirms cancellation and restores the Follow-Up Date that existed before the reminder was first set.
Priority state
On enabled internal boards, filters Pending by Needs attention, Worked, needs next step, Scheduled, or Not scheduled. All priority states is the default.
Filters
Opens internal property rules for action type, date, workflow state, timing, Set By, campaign, prospect or company, title, and timezone. On supported Potential and Asked for Info tabs, also contains Outreach recency, which applies immediately.
All Timing / Overdue
All Timing retains open matches. Overdue uses exact-action call evidence in the priority pilot, with timed obligations retaining urgency. Other boards retain their existing recent-outreach rule.
Last Outreach
Shows separate Last call and Last email dates after evidence loads. Each says None when no matching activity is recorded; an email date marked (imported) is history without confirmed delivery. Loading and Unavailable are evidence-read states. Sorting and recency filtering still use the latest overall outreach.
Follow-Up Date
Opens a calendar above the list so an authorized internal user can change or clear the date from a direct Potential, Asked for Info, or Reschedule queue. On a Bad timing or Out of office row in Callback, it moves the callback date; that date cannot be cleared.
Select all visible potential meetings
Selects only eligible rows in the focused lightweight Potential queue.
Call campaign / Call <campaign> (n)
Opens one Dialer group for the selected callable prospects in that campaign, from Potential or from Bad timing and Out of office rows in Callback.
Call
Opens the permitted prospect in the correct campaign Dialer when all current safeguards pass. On a Callback row, it keeps the Dialer tied to that exact callback. A provider-backed No Answer from the verified direct session applies the guarded seven-calendar-day retry rule to eligible Asked for Info or exact Callback work.
Inbound callbacks
Opens the missed callback and voicemail recovery queue with its pending, snoozed, and handled work.
Redial in dialer
Opens a matched callback contact in the Dialer while preserving normal status, blocklist and session checks. When the session ends, you return to Inbound callbacks with your filters.
Call selected / Call one campaign
Inbound callbacks only. After you select callable cards, opens one campaign's selected contacts in a Dialer session. When the session ends, you return to Inbound callbacks with your filters.
All SDRs
Inbound callbacks only. Appears beside the order menu when the list holds more than one SDR's callbacks. Choose an SDR to show only the callbacks assigned to them; each name shows its count.
Add Note / Save note
Lets an internal user append a contact note from an expanded focused row and refreshes Activity Notes after the save.

Filters the unified activity timeline to reminder creation, change, and cancellation events.

Named for the row's tab. The first click opens the row for activity review. With the row open, the same button asks for confirmation before marking the prospect Unresponsive and closing its follow-up work.
Activity Notes: Emails
Shows the contact's latest valid sent campaign, responder, and Inbox email activity for the selected client. Loading and empty states use the inclusive sent emails label, and synchronized duplicates appear once.
Removed from Follow-Ups
Shows authorized retained removal history through the stage filter, including when new removals are temporarily disabled.
Call selected
Appears after contact selection on boards with combined calling enabled. Opens only eligible selected contacts and counts contacts inside your calling assignment. Select all uses this same action. One campaign opens directly; multiple campaigns use the guarded sequence, which first lists any contacts it cannot call. No combined calling bar appears for an empty selection. Blocked confirmations remain visible for review but cannot be selected or included in this call batch.
Skip and call (Some contacts can't be called)
In the pop-up that opens when a multi-campaign Call selected run finds contacts it cannot call. The button names the counts, for example Skip 2 and call 14. It rechecks only the remaining contacts and starts the run. It is hidden when nobody is callable or when a problem skipping cannot fix is shown; then only Close appears.
Reply needs attention
On internal boards while the priority rollout is active, filters to open work with an unanswered qualifying prospect reply. Also available in advanced due-timing rules.

Remove Callback
Opens a box asking what happened. Pick an outcome (Other needs a short note) and select Remove Callback to close that callback. The follow-up date, contact status and meeting status stay unchanged.
Stop meeting follow-ups
For eligible Confirmation or Reschedule work, the first click opens the row for activity review. With the row open, it asks for confirmation to stop that meeting follow-up without cancelling the meeting or changing automated emails.
Voicemail text
Internal Inbound callbacks cards only. Shows or hides the written text of a voicemail beside its recording.
Match to contact
Inbound callbacks only. Appears on an unknown caller's card when a voicemail was kept. Opens a search of this client's contacts; select Match to link the callback. A search match does not save the caller's number on the contact.
Confirm match / Not them
Inbound callbacks only. Shown in the Sounds like line when the voicemail names a likely contact. Confirm match links the callback and saves the caller's number in an empty mobile or direct phone slot. Not them hides the suggestions.
Close
Inbound callbacks only. Opens Mark handled plus the Not a prospect reasons (Spam or robocall, Wrong number, Personal call, Other). Applies to every loaded call from that caller.
Undo match
Inbound callbacks only. Removes a hand-made match from the callback and the repeat callbacks that followed it. SDRs can undo their own match for 24 hours; managers any time.
Select all visible (Callback)
In the Callback tab, selects every visible Bad timing and Out of office row that can be called now. The counts beside it show how many are selectable and how many are not, such as Call Back Later callbacks.

Common questions

Reminders are available to authorized internal users on selected enabled accounts, including supported boards without the full calendar presentation. They support active Potential, Asked for Info, and open Reschedule work. Client sessions, other accounts, Confirmation, Referral, Callback, and legacy general follow-ups keep their existing behavior. Reminder availability is separate from priority and removal controls.
Expand an eligible row and wait for Activity Notes to load. Remind Me appears below the loaded history in a focused Potential, Asked for Info, or Reschedule tab. In Reminders, the same footer provides Change Reminder and Cancel Reminder. The primary row action area stays focused on Call and current eligibility.
SalesHive requires a future date no more than 90 days away and a reason of up to 500 characters. It moves the contact's Follow-Up Date to that day, removes the row from the active family tab, and shows it in Reminders. The contact remains in the same workflow and returns to active work automatically on the saved date.
The chosen 30, 60, or 90 day button stays visually highlighted. SalesHive also exposes that selected state to screen readers, and choosing a different preset updates both the visible and announced state.
A reminder does not create queue membership. If the contact leaves that family or its workflow data changes, the stale reminder no longer pauses or revives old work. Closed Reschedule work cannot receive, change, or cancel a reminder to reopen it. If the row changes during a save or cancellation, refresh and review the current state before retrying.
After confirmation, SalesHive restores the Follow-Up Date from before the reminder was first set. The reminder reason and cancellation stay in Activity Notes for review. If the row changed before cancellation finished, SalesHive refuses the stale update and asks you to refresh.
On enabled internal boards, Worked, needs next step means a qualifying provider-backed call was made on the local calendar day before the current date-only due date or later, or at or after the promised time for a timed callback and falls within the latest five SalesHive business days. The work stays open. Needs attention means due work lacks that evidence. Scheduled means not yet due, including date-only work due today without a qualifying attempt. Not scheduled means no valid date is saved. Use the Priority filter and counts. Qualifying attempts show the call date, result, and needs next step; hover for time and caller when recorded. A callback completed because the prospect was reached another way also counts for that prospect's other open work, except Confirmation.
Call credit requires provider-backed evidence tied to the exact open action. Where email evidence is enabled, a verified human SDR Inbox reply can also qualify for Potential, Asked for Info, and Referral work. Potential and Asked for Info use their direct Follow-Ups dial scope, Callback requires the exact task, and Reschedule requires the same current meeting slot. Except where the separate campaign-call recognition feature verifies one unambiguous obligation, generic campaign calls do not provide work credit. Unverified email activity, inbound calls (unless they complete a callback due that day), unfinished or failed attempts, older action lifecycles, and another meeting slot do not lower priority. They can still appear in Last Outreach or Activity Notes. For a date-only follow-up, the call can occur on the previous local calendar day or later. For a timed callback, it must occur at or after the promised time. Changing a reminder or follow-up date starts a new obligation, so earlier calls cannot satisfy a reused date.
No. Priority is read-only. All priority states is selected by default, and the states do not change dates, stages, ownership, dialing, completion, or any other workflow. Where email evidence is enabled, Referrals participate in priority filtering. Legacy general rows remain outside priority and visible in the default view.
Priority is available across internal selected-client boards while the rollout is active. The full Potential Meetings page also uses exact-action evidence for its Overdue count and date labels. Client viewers retain their established presentation. Reminders, status progression, removal, calendar views and calling sequences have separate availability.
All is a read-only internal overview. Choose the row's Potential, Confirmation, Reschedule, Asked for Info, Referral, or Callback tab to use its normal workflow controls. Reminder-backed rows can also be reviewed in Reminders, where only Change Reminder and Cancel Reminder remain available after Activity Notes load. In the SalesHive Testing validation only, authorized employees also see a separate editable Referral research panel in Referrals and research and All. Live-client and client-user workflows are unchanged.
Grouped All and Reminders show only families with at least one row after the current filters are applied. This keeps the combined workspace focused on work that is actually present. Open the direct family tab, such as Potential, to see its normal empty state.
Internal selected-client boards receive the strict All overview, workspace search and filters, sorting, and Last Outreach presentation by default. These controls organize rows the viewer is already allowed to see and do not add client access or new write authority.
No. Client sessions retain their established Follow-Ups presentation and do not receive the internal strict All overview, workspace controls, Last Outreach rollout, priority controls, or reminder pilot.
An authorized internal user can change or clear dates in direct Potential, Asked for Info, and Reschedule queues. SalesHive rechecks the selected client, current family state, and the user's permitted manager, owner, setter, or campaign relationship. All, Reminders, and client sessions stay read-only for direct date editing.
The calendar stays within the visible browser area. It can open above the date when there is not enough space below, and it remains above surrounding list content so every day stays selectable.
Use Call on that Callback row for a finalized outbound attempt tied to the exact action. Call opens the Dialer for that prospect even when their status is Interested, Referral or an objection outcome, which the normal campaign queue skips. To close it without a call, select Remove Callback, choose what happened (Other needs a short note), and confirm. Callbacks due by the end of today also complete automatically when the prospect is reached by a connected call, an answered inbound call, or a real email reply. None of these change the prospect or meeting stage, and the follow-up date stays until you set the next step. A Bad timing or Out of office row has no Remove Callback: call the prospect, or open the contact and change their status.
Those rows come from calls saved as Bad timing or Out of office with a callback date but no Call Back Later task. They show in Callback on internal boards when the contact has no open callback task, is on an active campaign and can be called, and they count in the Callback and header totals, search, campaign and Due Timing filters, and CSV export. Use Call to open the Dialer for that prospect, select several and use the campaign button in the bar to call them in one session, or change the date in the row. Set By shows Not recorded. The row leaves Callback once the contact's status changes.
A real provider-backed outbound call by the callback's assigned SDR counts when it goes to the same contact in the same client, on any of that contact's numbers, and is made at or after the callback came in. It counts even when the call came from normal campaign dialing rather than the Inbound callbacks queue. If the call does not reach the caller (No Answer, Busy, Voicemail, Answering Machine, Out of Office or Attempting First Contact), the callback stays open. The card shows how many times it was tried and when, and it stops counting as Unread after the first try. Any other result closes it as Handled. Dialing placeholders, skipped or failed calls, inbound calls and another SDR's calls change nothing.
Add Note is available to internal users on expanded rows in a focused family tab. It is intentionally absent from All, Reminders, and client sessions.
SalesHive appends the timestamped note to the selected contact and refreshes that row's Activity Notes so the new context appears immediately.
The row does not currently pass the shared dialing decision. The visible reason explains the active status, block, company, ownership, session, or campaign issue. Select all and bulk counts exclude it. When the eligibility decision passes, Call and selection remain active and the page does not show a stale or Calendar-only warning.
On internal Follow-Ups boards, authorized callers can select contacts in Potential, Asked for Info, Referral, Confirmation or Reschedule across selected clients. Call selected appears only after selection and counts eligible selected contacts within current calling assignment or active relief coverage. Select all uses the same action. One eligible campaign opens directly; multiple campaigns run in the protected sequence. Current calling readiness is required. Selected booked Confirmation and Reschedule work can use its own active, paused, completed or archived campaign history. Each selected contact must retain booked-meeting evidence and pass current eligibility checks. Potential, Asked for Info and Referral sequences still require active, non-archived campaigns. Client-wide outreach pauses still prevent calling. Potential, Asked for Info and Referral also require unpaused client outreach. Emergency availability controls and role checks still apply. Call selected does not appear in All, Calendar, Callback or the standalone Potential Meetings page. In Callback, Bad timing and Out of office rows use a per-campaign call bar instead.
On internal boards while the priority rollout is active, ordinary date-based work stays out of Overdue only when a recent provider-backed call belongs to that exact open action and occurred on the previous local calendar day or later relative to its current date-only due date. Where email evidence is enabled, a verified human SDR Inbox reply can also qualify for Potential and Asked for Info under the current-date rules. Generic email, unrelated calls, and unavailable evidence do not qualify. An unanswered prospect reply takes priority over worked credit. Timed promises and confirmations retain their urgency until their workflow resolves them. If priority is disabled for the board, the existing recent outbound call or confirmed sent-email rule applies. Use All Timing to review open work. Its saved date is unchanged, and it can return to Overdue when the five-business-day window expires.
It shows separate Last call and Last email dates for the contact in the selected client. Last call uses qualifying completed outbound calls; Last email uses confirmed sent campaign, responder or Inbox emails. Each says None when no matching activity is recorded. Without a confirmed sent email, an imported date can appear under Last email with (imported), even when a verified call exists. Imported history does not confirm delivery, complete a follow-up or suppress Overdue work. Sorting and the five-business-day recency filter still use the latest overall outreach, in Eastern Time. Reply received and any qualifying worked-attempt details appear below the two channel dates. Review Activity Notes and choose the next step.
Loading means the protected evidence read is still running after the core rows appeared. Unavailable means that read failed for this visit. Neither state is treated as No outreach, and outreach-dependent filtering and sorting stay neutral until verified evidence loads.
It is family-specific audit evidence for who created the follow-up, not the current contact owner. Referrals normally use the exact referral disposition on the referrer inside the same SDR's active session for the selected client. A reviewed late referral can instead use its explicitly linked original conversation when the referrer, client, SDR and call-time session evidence agree. Referrals entered manually through Referred by on Contact Detail stay Not recorded for Set By; they do not establish an SDR call or booking credit. Missing, conflicting or invalid linked evidence also stays Not recorded. The value participates in filtering, sorting and CSV export. For Potential rows here, it remains the original qualifier. The separate Potential Meetings page also shows the original qualifier, independently of current follow-up ownership.
Remove Potential, Remove Asked for Info and Remove Referral move the prospect to Unresponsive, clear its follow-up date and close open same-contact Callbacks. Stop meeting follow-ups instead stops the current Confirmation cycle or closes active Reschedule review while preserving meeting status and automated emails. Both retain the contact and decision history. Remove Callback closes only that callback with the outcome you chose, and keeps contact and meeting status unchanged.
Calendar and separately controlled employee actions appear only for eligible internal sessions. The board-wide workspace rollout does not grant Calendar, dialing, date editing, note, closure, reminder, or client access by itself.
When the assigned SDR saves a provider-backed No Answer from the verified direct Follow-Ups session, SalesHive moves due Asked for Info work or the exact called Callback seven calendar days after the call. A date the SDR selected wins, and an Asked for Info date that was already in the future stays unchanged. Exact callbacks keep history by creating the replacement before the called task moves to Done. Ordinary campaign, Referral, Potential, and meeting-follow-up calls keep their existing behavior.
It no longer appears. Select eligible contacts and use Call selected instead. One eligible campaign opens directly; multiple campaigns use a guarded sequence. Client sessions do not get internal combined calling.
Review the first setup. Matching settings continue automatically after call review and saving finish. Reschedule, Potential, Asked for Info and Referral keep each campaign's own script, template choices, email settings, booking instructions and attribution. Different settings or missing comparison evidence pause for a summary, named next-campaign confirmation and setup review. Confirmation retains its compatibility checks. Each handoff rechecks assignment, exact selected work, phones, calling hours and compliance. End session stops the run; Finish combined run exits from setup. Returning to Follow Ups restores the saved family, search, filters and sorting. If some selected contacts cannot be called, the Some contacts can't be called pop-up lists them so you can skip them. A problem skipping cannot fix, such as campaigns with different settings, is shown in red at the top of the pop-up or in a message, and the run does not start.
Before a multi-campaign run starts, SalesHive checks every selected contact and lists each one it cannot call with the reason. Reasons include no phone number on file, every number marked wrong number or DNC, calls turned off for the contact, a contact or company domain on a blacklist, a company that already has a booked meeting or is already in the client's pipeline, a contact already in another SDR's active dial session, a contact no longer in that campaign's follow-up list, and a campaign that is paused, archived, not assigned to you or missing a call script. Skip them to call the rest now; skipped contacts stay in Follow Ups so you can fix them later or call them from their own campaign. Inbound callbacks keep their own named messages instead of this pop-up.
Activity Notes includes the latest valid sent campaign, responder, and Inbox messages linked to the exact contact within the selected client. Loading and empty states call the whole group sent emails, and synchronized duplicates appear once. Inbound email and complete status-change history are not included in this timeline.
A longer stage label wraps inside its Action pill to keep the full label readable without crowding Follow-Up Date. This is a presentation change only and does not change the confirmation stage, due date, selection, or calling workflow.
The contact no longer has an active Meeting Set or Meeting Rescheduled status with a scheduled time. Closed outcomes stay out of confirmation calls and reminders even when the original meeting date remains in history. Use the relevant completed or current workflow instead of recreating confirmation work.
Both are internal-only and enabled separately for authorized users on selected client boards, so a board can have removal without Remind Me. Removal can also be temporarily disabled or limited to selected accounts, and it depends on account exclusions, your current contact-management permission and eligible active family evidence. Review Activity Notes in a focused family tab before using either action. Client users do not get these controls. Earlier removal history stays available on enabled boards if new removals are later turned off.
Only selected contacts within current calling assignment or active relief coverage count. The bar explains excluded contacts. Ordinary follow-up campaigns must be active and non-archived. Selected booked Confirmation and Reschedule work has the separate historical-campaign path; assignment is rechecked before calling.
Provider-backed outbound call sessions, including No Answer, and confirmed emails to the prospect can count even when made from another calling screen. Duplicate records count once. Drafts, failed or skipped calls, unfinished dialing, imported-only history, internal handoffs, and future activity add no credit. On the standard progression, historical counts and dated manual corrections remain starting points. Missing starting evidence keeps the existing stage calculation. Reschedule retains its current-meeting attempt floor and starts a new evidence period after a manual meeting-date change. Separately reviewed accounts can require stricter starting evidence and show Stage unavailable instead of using those historical counts. These read-only stages do not change due dates, stored status, calling, or Confirmation and Callback completion. This progression is available across internal selected-client Follow-Ups boards, subject to account exclusions and temporary rollback controls. Client viewers retain their existing presentation. Stage credit is separate from priority credit and does not prove that a follow-up is complete.
Yes. The open tab, All included, is kept in the page address, so refresh and the Back button return to it with the search, filters and sort you set for that client earlier in this browser session. Opening Follow-Ups from the sidebar is a fresh start on All with no search or filters, so a leftover filter never quietly hides work. The rows always load fresh. If you were viewing Removed from Follow-Ups, the page reopens on active work. Returning from the Dialer restores the view you left. A Loading follow-ups placeholder shows while the page opens. Internal Pending views also refresh when you return to the visible tab or window, at most once every 30 seconds, and expanded Activity Notes refresh with the outreach evidence. The page does not poll while hidden.
No. These are completed sales outcomes. They stay out of pending meeting work and confirmation queues even when the original meeting date and booking history remain saved.
Matching enabled email behavior can pass compatibility even when identical copy was saved at different times. Unused copy for disabled automation does not create a mismatch. Different or unavailable settings comparisons require the supported review flow before continuation.
Ordinary pending work and its counts omit contacts without an eligible active campaign or with failed calling readiness. Due confirmations remain visible with an explanation even when calling is blocked. Eligible booked confirmations can use their own active, paused, completed or archived campaign under the exact selected-contact rules. Visible confirmation counts can therefore exceed callable contacts. A smaller count does not mean contacts were deleted.
No. Prior decisions and authorized removal history remain available when new removals are disabled or limited to selected accounts. Completed decisions are not reversed.
SalesHive rejects a stale decision or a Reschedule review that is already closed. Refresh the page and review the current state before acting again. A failed callback or history save prevents the whole removal from completing.
Return to Follow-Ups and select the current rows again. SalesHive checks the exact selected contacts and campaign settings before opening the session. It does not silently start with only part of that selection.
For internal users while the priority rollout is active, yes, when the provider-backed call is tied to the exact current action and remains within the five-business-day window. One-day-early credit uses the local calendar, not a rolling 24-hour period or the previous business day. A Sunday call can count for a Monday date; a Friday call cannot. Qualifying work is recognized immediately, even before a date-only reminder expires. The saved date and reminder pause remain in place until their existing workflow changes them. The follow-up stays open and still needs a next step. Timed callbacks require a call at or after the promised time. A later date edit invalidates older evidence.
Where email evidence is enabled, SalesHive requires a successful human SDR reply through Platform Inbox linked to the prospect's incoming message and current follow-up. The reply must go only to the address that sent that message, without CC or BCC. That address can be another prospect address, as long as the message counted as a prospect reply. Potential and Asked for Info credit follows the current due-date and five-business-day rules. A verified recent Referral reply can count without a scheduled date. Automated, imported, bulk, composed, or forwarded emails do not provide this reply credit. Missing credit is not proof that delivery failed. Check Sent Mail before retrying.
No. A reply you send does not lower Confirmation or Reschedule urgency or complete their workflow. The prospect's own reply is different: a real email reply completes their callbacks due by the end of today, and a booked prospect's reply to our confirmation email that is sorted as Meeting Set confirms the meeting. Other work stays open until its normal workflow resolves it.
It clears once a reply is sent back to the prospect in the same thread, by the SDR or a responder. It stays when the prospect wrote again after that reply, or when the email went out as a new message or to several recipients instead of as a reply to the prospect. Clearing it does not give worked credit; only a verified human SDR reply does.
No. Handled can mean manual closure or a return call that ended with a result other than not reached, such as a wrong number. Backlog counts include open and due snoozed items, not confirmed sales opportunities. An empty page can still have remaining callbacks; use Previous page or change order when the pending count is above zero.
SDRs and sales reps load only their own callbacks, so the menu appears for other internal users, such as managers, strategists and admins, and only when the loaded page has callbacks for more than one SDR. Callback filters do not show on the paused or closed lists.
No. Priority totals use the families rendered on the selected board. Priority can remain available for visible families without enabling a separately restricted Potential family or its status controls.
The next campaign has different settings, comparison evidence is unavailable, or the current setup needs review. Review the completed summary, choose the named next campaign and check its own setup before starting. Matching settings can continue automatically after the usual handoff checks.
On enabled internal views, a date-only follow-up marked Worked, needs next step shows Original due when it has both a saved due date and qualifying outreach evidence. The date is visually subdued because it is context for the work already attempted. It is not cleared or moved, and the follow-up remains open. Timed promises, confirmations, missing evidence, and work that needs attention keep Follow-up Date. Review Activity Notes and choose the next step using the controls available in that view.
In a self-serve workspace, Follow-Ups is not offered because it is the SDR callback queue and the plan has no calling. It is hidden from the sidebar, and its link opens Potential Meetings, where you follow up with warm prospects by email. Otherwise, a restricted client user type, including the default client SDR type, does not include this page. Your client user type applies separately to the selected client. It narrows existing access; it does not add access to another client or employee features. Restricted types see only permitted navigation. A blocked page can redirect to an allowed page. If Client access says no features are available, contact your SalesHive team to review your permissions.
On an internal Follow-Ups board using the standard starting-date recovery, a missing Asked for Info starting date can be recovered from the earliest verified outbound Asked for Info call for that contact in the selected client, including a call made from Potential Follow-Ups. The establishing call is the starting point, not another follow-up attempt. A later verified prospect email can therefore move the stage to 2nd Follow-Up. Existing dated cycles and historical starting points stay intact. Email alone cannot establish the missing starting date. This read-only recovery does not change the contact status or due date.
Some internal boards use a separately reviewed calculation. Potential and Asked for Info need a verified native status change for the current family; Referral needs its native referral starting date. Imported totals, manual correction batches and undated history cannot establish that starting point. Verified later outbound calls and confirmed prospect emails can then advance the stage, with repeated calls in one session counted once. If a qualifying later call belongs to a session that began at or before the starting point, or its session start is missing, the stage stays unavailable for review. Reschedule stays unavailable under these stricter rules until its current-meeting starting evidence is separately supported. An unavailable stage does not mean no work occurred. Review Activity Notes; labels do not change dates, contact status, completion, or access to removal.
Select the info button beside the Priority filter. The guidance now opens in a popover instead of appearing above the filters. Worked does not mean complete: the follow-up stays open until its next step is resolved. The separate warning that activity could not be verified still appears when verification is unavailable.
On separately enabled internal accounts, an ordinary campaign call can also mark one dated Potential, Asked for Info or Callback obligation Worked, needs next step. SalesHive must verify the prospect, selected client, campaign, calling session and caller, and find only one unambiguous obligation. Another open or recently completed callback can prevent credit even when it is hidden from the current view. The call must meet the existing due-date and five-business-day rules; timed callbacks still require work at or after the promised time. Later status, date or callback changes invalidate older calls. Confirmation and Reschedule keep their meeting-specific evidence, and Referral remains eligible for verified email credit only. This recognition changes no saved date, status or task completion. Review Activity Notes and choose the next step. Availability is limited to selected internal accounts and can differ between clients; it is not enabled for every account or for client views.
Compact follow-up rows now show their type and available stage, priority or reminder badges without repeating Action above each row. Read the badges to identify the work. This layout change does not change dates, eligibility or available actions.
Open Filters on the Potential or Asked for Info tab. Outreach recency now sits inside the panel so the main filter bar stays consistent across action tabs. It remains unavailable while outreach evidence is loading or unavailable. Choosing a value applies it immediately to that tab.
Not scheduled means no valid follow-up date is saved. Potential, Asked for Info and Referral work can remain undated without a repeated Needs date badge in Action. Potential, Asked for Info and Referral date cells show Not scheduled, and the timing, priority and property filters use that label. Missing dates on callbacks or meeting-related work can still show Needs date because those workflows require scheduling. A Reschedule row also drops a saved date from before the day the contact last entered Rescheduling, because that date belongs to an earlier reschedule. This wording does not schedule, complete or change the status of any follow-up.
An explicitly selected booked-meeting follow-up can use the contact's own active, paused, completed or archived campaign enrollment history. A saved booking date or supported booked-meeting status is required for every selected contact. This does not reactivate the campaign or open its ordinary queue. Every selected contact must qualify. Other follow-up paths keep their existing campaign eligibility rules. A client-wide outreach pause, Calls off, missing phone, assignment restrictions, DNC and calling-hour checks can still prevent the call. SalesHive rechecks eligibility when opening the session and before dialing.
No. It identifies an information request without enough recorded evidence to establish an engaged next step. Review the history and any existing callback or reply date. Needs review is uncertainty, not a reason to remove the contact or ignore due work.
Callback work excludes contacts with No Interest, Blacklisted Contact, Domain Blocked, No Longer at Company or Unqualified status, as well as meeting-owned statuses. An open callback task is also hidden from Callback, the counts and the calendar while the outreach blocklist stops calling the contact, for example after a colleague books a meeting at their company. The task is not changed and returns with its date when the block lifts. Saved callback history remains. Removing a callback with No longer needed is not evidence that a call occurred or the prospect was reached.
This validation workflow is limited to authorized employees in SalesHive Testing (Do Not Delete). It is unavailable for live clients, Training, client users and impersonation. Saving a candidate is separate from confirming a contact. The validation does not authorize real calls, external sends or paid searches.
A Confirmation row's meeting summary lists the 48-hour call, 24-hour call and 2-hour call, each marked Done, Due now, Upcoming, Missed or Not needed. By default only the 24-hour call, on the business day before the meeting, is needed. Accounts set to 48h + 24h also need the 48-hour call, two business days before, when the meeting was booked at least 48 hours ahead and before that call's day. The 2-hour call is a last chance that applies only when no earlier confirmation call was made. Meetings booked the same day, or for the next business day (a Friday booking for Monday counts), need no confirmation call. A later dial to the prospect in the same dial session that booked the meeting is part of the booking, not a confirmation call. Once a confirmation call is made, the remaining calls are not needed whether or not the prospect confirmed, and Meeting Confirmed ends any remaining calls. An email confirmation also ends them: Confirmed by email from Mark done, or Confirmed by email (prospect reply), recorded automatically when a booked prospect answers our confirmation email and the reply is sorted as Meeting Set. If a booked prospect emails to cancel and the reply is sorted as Cancelled, confirmation calls stop and the team is alerted to update the meeting on Booked Meetings.
The text is created after the voicemail arrives, for saved contacts and unknown callers alike, so it can take a short time to appear. It is skipped when no speech is detected or transcription is unavailable; the recording still plays. For saved contacts, scoped callers see voicemail text only for calls on their own call log. Client users do not see it.
The callback links to that contact, and the same caller's other open, unmatched callbacks on this client follow it (for SDRs, only ones assigned to them). Match to contact appears only when a voicemail was kept, so you match from what you heard. Confirming a Sounds like suggestion saves the caller's number in an empty mobile or direct phone slot and never overwrites a number. A search match leaves the contact's numbers alone, so a return call will not close the callback automatically unless the caller's number is already on the contact. Use Undo match if you picked the wrong person.
The prospect's SDR (the contact owner, the SDR who booked the meeting, or the SDR on their current or most recent campaign) or a manager. On a shared calling queue, the campaign SDR is whoever owns that contact's calling half, so the partner SDR can act on their half and the primary SDR no longer sees it. A half whose SDR is no longer assigned to the client returns to the primary SDR. The same rule decides which follow-ups and callbacks each SDR sees. Anyone else sees an error and nothing is saved. Each Mark done records who marked it.
The Referral research page for referrals missing a phone or email is temporarily turned off while it is reviewed. The button is hidden for everyone, and older links to that page, including links in referral notifications, now show a not found page. Referral rows in the Referral tab work as before. The separate Testing-only Referral research panel is not affected.
