Overview

Contracts manages documents and electronic signatures for the selected client. Prepare a draft or reusable template, add signers and signing fields, send invitations in order, and track completion. Open it from Deals > Contracts or from Contracts on an individual deal. Access follows your permission to use that client's Deals.

How to use this page

  1. Find or create a contract

Choose Contracts under Deals in the sidebar. Search contracts by title and use Previous or Next for more results. Open a title to review it, or select New contract, enter a Title and select Create draft. Opening Contracts from a deal filters the contract list to that deal and links new drafts to it. The sidebar entry opens the full client library.

  2. Set details and add documents

Review Title and Linked deal, enter a Message to recipients, and choose Expires after (days) and Remind every (days, 0 turns off). Defaults are 30 days to expiry and reminders every 3 days. Select Save draft. Under Documents, upload a PDF or expand Write contract text, enter your approved terms and select Create PDF. Save unsaved draft edits before adding documents.

  3. Add recipients in signing order

Select Add recipient and enter each person's Full name and Email. Choose Signs or Receives a copy. Give signers a Signing order: matching numbers sign together, and the next group is invited after the earlier group finishes. Copy recipients receive the completed contract. Use unique email addresses. Removing a recipient also removes their fields.

  4. Place and review signing fields

Choose a Document and page. Under Signing fields, select Assigned signer and Field type, then Place a field and click the PDF. Each signer needs at least one required Signature field. Other types are Initials, Name, Email, Date, Text and Checkbox. Select a field to edit its Label, Required setting, position and size, or drag it to move it. Use Remove field for an unwanted field. Keep each field inside its page and select Save draft.

  5. Send the saved draft

Review every document, recipient address, signing order and required field. Select Save draft, then Send for signature and confirm with Send contract. Sending freezes the documents and fields and queues invitations for the first signing group. Use Refresh status to see saved progress, Activity and Email delivery. A sent status is not confirmation that every invitation has arrived.

  6. Reuse a template

Select Templates and New template to prepare reusable documents, recipients and fields. Save draft before selecting Use template to create a contract copy. On a contract, Save as template creates a reusable copy, and Duplicate creates another draft. Review names, addresses, terms and Linked deal on every copy before sending.

  7. Manage reminders or stop signing

On a sent contract, select Send reminder for eligible waiting signers. Reminders are limited to once every 24 hours per current signer and are held when an earlier delivery is queued or unconfirmed. To stop the contract, enter a Reason for voiding, select Void contract and confirm. Signing links stop working and existing evidence stays recorded. To change sent terms, prepare a new draft with Duplicate.

  8. Keep the completed documents

After everyone signs, open the contract and select Refresh status if needed. Select Completed PDF for the documents with their signing record, or Audit record for the detailed JSON record. Signers and copy recipients are sent a personal link to download the completed PDF. Sent and completed events also appear in the linked deal's activity when that deal still exists.

What the buttons do

Contracts / Templates / Search contracts
Switches between contracts and reusable templates and searches titles. Previous and Next browse lists of up to 50 records per page.
New contract / New template
Opens the title form. Create draft or Create template saves the new item; Cancel closes the form.
All contracts
Returns to the list. If draft edits are unsaved, asks whether to leave without saving. A list opened from a deal remains filtered to that deal.
Save draft
Saves editable title, deal link, recipient details, settings and fields. Watch for Unsaved changes before leaving.
Linked deal
Associates the draft with one of this client's opportunities, or leaves it unlinked with No linked deal.
Expires after / Remind every
Sets expiry from 1 to 365 days after sending and automatic reminders from 0 to 30 days. Zero turns automatic reminders off.
Upload PDF / Write contract text / Create PDF
Adds a PDF for review and field placement. Uploads allow up to 15 MB per file; Create PDF turns the entered approved terms into a PDF.
Document / Previous page / Next page / Download / Remove
Chooses and reviews a document, downloads it, or removes it from a draft along with its fields. Save draft to retain a removal.
Add recipient / Remove recipient
Adds a signer or copy recipient, or removes a recipient and their assigned fields from the draft.
Assigned signer / Field type / Place a field
Chooses who fills a field and its type, then lets you place it on the PDF. Cancel placement stops placing. Select an existing field to edit its label, required state, position or size, or remove it.
Send for signature
Available on a saved contract draft. Confirmation freezes it and starts invitations in signing order; a template must first be copied with Use template.
Duplicate / Save as template / Use template
Copies saved documents, recipients and fields into a new draft or template. These controls are unavailable while edits are unsaved.
Refresh status / Send reminder / Void contract
Refreshes a sent contract, requests eligible reminders, or stops signing after a reason and confirmation.
Completed PDF / Audit record
Available after completion. Downloads the signed PDF with its signing record, or the detailed signing and delivery record as JSON.

Common questions

Save unsaved edits first. Add at least one document and signer, with a required Signature field for every signer. Every field must belong to a valid page and signer and fit on its page. A template must be copied using Use template before it can be sent.
Use unsigned PDFs of up to 15 MB and 1 to 100 pages each, with at most 10 documents per contract. Encrypted PDFs, embedded scripts or attachments, and existing digital signatures are refused. If the error mentions rotation or cropping, export a copy with those changes applied. Existing form fields are flattened; add signing fields in Contracts.
Each current signer receives a personal link. They review every document, enter their full legal name, type or draw their signature, fill required text, initials or checkboxes, accept electronic signing and confirm Agree and sign. Names, email addresses and the UTC signing date fill their assigned fields automatically. Recipients can decline with a reason, which ends signing for everyone.
SalesHive has not confirmed the email outcome and will not automatically send it again. Ask support to check the original delivery before another attempt. A suppressed delivery means an email restriction prevented the send. Waiting invitations can belong to later signing groups or copy recipients; Refresh status shows current progress.
Its documents and fields are frozen. Duplicate creates an editable draft. If the original should no longer be signed, void it with a reason before sending revised terms. Void and decline preserve existing evidence. An expired contract cannot be signed.
The contract keeps its own documents, signing links and evidence, so signing can continue without the opportunity. Open it from the full Contracts library. New activity is not added to a deleted deal. Access still belongs to the same client workspace.
No. It records a completed-contract activity when the linked deal is available. Update the pipeline stage separately.
The save is refused with a request to reload. Keep a copy of any unsaved text you need, reload the current contract and apply your changes to that version.
Use Download to review the saved document. If you need to place fields and the preview still fails, ask support to resolve the display issue before sending.
